A buyer messages you about a parcel that has not turned up. You are busy, you get to it in a couple of days, you sort it out politely, and a case opens anyway. You assume Etsy has you covered, because that is what Purchase Protection has always meant. Then the refund comes out of your payment account.

What actually changed

Etsy rewrote Purchase Protection eligibility on May 7, 2026. The old version was mostly a set of facts about the order: was it shipped on time, was there tracking, did the item match the listing. Those still apply. What is new is a second layer that is about you.

An order is eligible only if all of the following hold. Etsy lists them plainly:

  • The order was shipped within your stated processing time
  • Valid tracking was provided, or the label was bought through Etsy
  • Your listing has an estimated delivery date
  • The item the buyer received matches the photos and description
  • You meet Etsy's customer service standards
  • You responded to the buyer's Help with Order message within 48 hours
  • It is the first instance in the calendar year of an item arriving damaged
  • Duties and import fees are included upfront if the order is shipping into the US

The last four are new, and they are the ones that move risk onto your side of the table. Etsy is explicit about the cutover: for cases opened before May 7, 2026, the old policy applies.

The 48 hour rule is softer than it sounds, and stricter

Softer first. Etsy says an automated reply can count. Its wording is that automated responses, such as an auto-reply while on vacation mode, can also count as a response if they acknowledge the buyer's message. So a well written vacation auto-reply is not just a courtesy, it is protection.

Now the strict half. The clock starts when the buyer sends the Help with Order message, which happens before any case exists. Etsy describes the process as beginning only after two things: the buyer reaches out about an order through a Help request, and then the buyer opens a case. By the time you see the case, the 48 hours you needed to hit have already been spent.

Two limits almost nobody has written down

These two cost real money and are barely covered anywhere.

Damage is covered once per calendar year. Etsy's eligibility list reads: it is the first instance in the calendar year of an item arriving damaged. The second breakage in the same year is not eligible, and the refund lands on you. If you ship anything fragile at volume, that is a budget line, not a footnote.

Buyers get 30 days. Etsy's wording is that buyers can now open a case for up to 30 days after eligibility begins, and that buyers cannot receive a refund after the 30 day case window except in rare cases, such as when an item was not shipped within 30 days of the estimated delivery date. Shorter windows favour sellers, so this one is in your interest.

What counts as late now

Etsy has put a number on it. An order is considered late if it arrives 7 or more days after the estimated delivery date, and Etsy describes that gap as a buffer to account for carrier delays outside your control. It also says that during high volume periods, like holidays, it may expand late delivery coverage.

There is a matching allowance on the shipping side. Etsy says it looks at carrier scans to confirm an order shipped on time, and includes a buffer of at least two days when evaluating them. It also accepts that tracking is not always available, naming regions such as the UK where first origin scans are inconsistent, and shipment types like letters or flats. Keep your shipping receipts for those.


The coverage number, read properly

Purchase Protection covers eligible orders up to $250, even when the order total is higher. The detail worth knowing is what that $250 is measured against. Etsy's answer is the order total including shipping and taxes collected on Etsy, so on a $200 item with $60 of shipping and tax you are covered to $250 of a $260 order.

Two exclusions that actually work in your favour

Most write-ups treat every exclusion as a loss. Two of them are not.

The first is about duties. Etsy states that buyers are responsible for customs duties, import duties or other government charges payable on delivery, and that items which arrive late or are not received because the buyer delayed or refused to pay those charges do not qualify under Purchase Protection. It then says the part that matters: in that situation, sellers are not responsible for refunds, though they may offer one at their discretion. If a buyer refuses a duty bill at the door, that is not your refund to carry.

Go Delivered Duty Paid on US bound orders anyway. Since July 9, 2026, orders shipped to US buyers from outside the US must use a DDP option to qualify for Purchase Protection, and the Seller Policy makes DDP a flat obligation rather than merely a protection condition.


Watch out: Insurance is a trap dressed as a benefit. Etsy says an order is not eligible if you hold insurance from a third party source, or carrier or payment processor coverage, and asks you to claim on that primary coverage first. Insuring a parcel does not stack on top of Purchase Protection. It replaces it, and the claim becomes yours to file.

If the decision looks wrong, you can push back

This route exists and hardly anyone uses it. For a closed case about an item that arrived damaged or different than described, Etsy invites sellers to dispute the outcome, with a final decision by email within 1 to 3 business days.

Know the limit before you spend the time. Etsy says that for cases about an item the buyer never received, or one that arrived 7 or more days late, it generally cannot review the outcome further.


Your checklist

  1. Write a vacation auto-reply that acknowledges the buyer's message by name and says when you will reply properly. It counts.
  2. Set a hard personal rule: every Help with Order message gets a human answer inside 48 hours, holidays included.
  3. Check your customer service stats in Shop Manager, because meeting those standards is now an eligibility condition and not just a search input.
  4. Make sure every listing carries an accurate estimated delivery date and a realistic processing time.
  5. Count how many damage claims you had this calendar year. If it is more than zero, the next one is uncovered.
  6. For US bound orders from outside the US, ship DDP and say so in the listing.
  7. Above $250, price in carrier insurance, remembering that buying it moves the claim to you.
