Etsy Grades Your Shop in Four Areas Now, Not Two

Most sellers can name two of Etsy's customer service standards: answer your messages, ship on time. That was accurate once. Etsy now grades you in four areas, and the two that got added are the two you cannot fix in an afternoon.

The four areas

Etsy's wording is direct. Sellers are expected to meet its Service Level Standards, and that includes meeting customer service standards in four key areas: message response rate, on-time shipping and tracking, average review rating, and case rate.

Where to see your own numbers

You do not have to guess. Etsy says that once you have made at least 5 sales in the last three months, your progress appears on the Customer service stats page in Shop Manager, reachable from the Etsy Seller app home page too. The per-area stats refresh every 24 hours, and the monthly overview at the top of the page refreshes on the first of each month.

That refresh schedule matters. The daily numbers are your early warning. The monthly overview is the one that decides whether you met the standard.


Message response rate has more give than you think

The stat is narrower than the phrase suggests. Etsy counts only the first message in a new thread, and gives you 48 hours to reply to 80% of them. Ongoing back and forth inside an existing thread does not count. Neither do messages you report as spam, or the ones from Etsy in your From Etsy folder.

Two details are worth building a habit around. Auto-replies count as a first message, which is a genuine lever if you set up a vacation reply that acknowledges what the buyer asked. And marking a first message as unread does not make it count as new again, so the old trick of flagging a message to deal with later does nothing for the stat.

On-time shipping does not require tracking

This one is widely misunderstood, and getting it wrong makes sellers spend money they did not need to spend.

Etsy's position is that adding tracking is always best practice but is not required to meet the on-time shipping standard. Tracking is required to earn Star Seller badges, which is a different programme with its own criteria. The standard itself is 80% of orders shipped on time.

The stat is also fairer than it looks. It excludes carrier delays, digital orders that are correctly listed as digital, and cancelled orders. A parcel that leaves your hands on time and then sits in a depot for a week is not counted against you here.


Case rate is the one that can end a shop

Case rate is new to most sellers and it is the standard with the sharpest teeth. Etsy says that repeatedly failing the case rate standard can lead to selling privileges being temporarily or permanently revoked.

So read the definition carefully, because it is narrower than the fear it produces. Etsy only counts cases where a refund was taken from your payment account. Three categories are excluded outright:

  • Orders over $250
  • Orders eligible for Etsy Purchase Protection
  • Orders you refunded before the buyer opened a case

That last exclusion is the whole strategy in one line. A buyer can only open a case after they have tried to sort it out with you in Etsy Messages, and after the estimated delivery date or ship-by date has passed. That gap is your window.

The Purchase Protection exclusion cuts the same way, and it is why the two systems are worth understanding together. Meeting these standards is itself a condition of Purchase Protection eligibility, and eligible orders do not count toward your case rate. Good service compounds. So does the opposite.

Average review rating, and the reviews you can get removed

The threshold scales with your history. Under 40 reviews, no more than 4 of them may be 3 stars or less. At 40 or more, fewer than 10% may be 3 stars or less. A young shop with three poor reviews is one away from the line, which is why early quality control matters more than early volume.


Watch out: Etsy can sometimes remove negative reviews that do not follow its policies, naming reviews about something outside your control such as a carrier delay. Report those rather than absorbing them, because at under 40 reviews it only takes five to put you below the standard.

What happens if you miss

Etsy sets out the consequences in three tiers, and they escalate.

  1. Fall short of one or more standards and you risk lower search visibility.
  2. Fall short and you may no longer qualify for Etsy Purchase Protection, which means refunds Etsy would have covered come out of your account instead.
  3. Repeat violations may result in temporary or permanent suspension of your selling privileges, and Etsy names case rate specifically as the one where repeated failure can revoke selling privileges.

The middle tier is the one that surprises people. It is not just a ranking penalty any more. It is a direct transfer of financial risk from Etsy to you.

  1. Open the Customer service stats page in Shop Manager and write down where you sit in all four areas today.
  2. Set up a vacation auto-reply that acknowledges the buyer's message, since auto-replies count as a first message.
  3. Stop relying on marking messages unread. It does nothing for the stat.
  4. If tracking is costing you money on low value orders, remember it is not required for the shipping standard, only for Star Seller.
  5. When an order has clearly gone wrong, refund before the buyer opens a case. That keeps it out of your case rate.
  6. Report reviews that are about carrier delays or other things outside your control.
  7. Check the monthly overview on the first of each month, not the daily numbers, when you want to know whether you met the standard.
